Physicians who received money from the federal COVID-19 Provider Relief Fund and missed the first two reporting deadlines now have until April 22 to request to report late, thanks to an extension by the federal Health Resources and Services Administration (HRSA).

Physicians who received more than $10,000 from the fund and failed to submit their report for periods 1 or 2 should act immediately. They can file a Request to Report Late Due to Extenuating Circumstances until April 22 at 10:59 pm CT.

The two previous reporting periods collectively applied to those who received relief funds between April 10, 2020, and Dec. 31, 2020. HRSA will notify physicians whether their request is approved. Those who get approvals will need to proceed with completing their funding report. Those who are denied will need to return their funds.

HRSA's list of allowable extenuating circumstances for a late report include:

  • Severe illness or death – A severe medical condition or death of a practitioner or key staff member responsible for reporting hindered the organization’s ability to complete the report during the reporting period.
  • Impacted by natural disaster – A natural disaster occurred during or close to the end of the reporting period that damaged the organization’s records or information technology.
  • Lack of receipt of reporting communications – An incorrect email or mailing address on file with HRSA prevented the organization from receiving instructions before the deadline.
  • Failure to click “Submit” – The organization registered and prepared a report in the reporting portal, but failed to click “Submit” before the deadline.
  • Internal miscommunication or error – Miscommunication or error regarding who was authorized and expected to submit the report on behalf of the organization and/or the registered point of contact.
  • Incomplete targeted distribution payments – The organization’s parent entity completed all general distribution payments, but the subsidiary didn't report a targeted distribution or distributions.

For questions, contact the HRSA Provider Support Line at (866) 569-3522. The agency also maintains a Reporting and Auditing FAQ. You can also find more information on the American Medical Association's website, including a step-by-step workflow on late reporting.
