Cellphone Policy Minimizes Distractions

Limiting personal cellphone use for calls, emails, and texting during work time can help a busy medical office stay on schedule and focused on patients. 

TMA’s Policies and Procedures: A Guide for Medical Practices outlines these simple rules for staff:

  • Keep cellphones switched to vibrate mode or off during normal business hours.
  • Limit cellphone calling, texting, or emailing to breaks and personal time.
  • Tell family and friends to limit personal calls to the practice during business hours.
  • When personal calls are necessary, make every effort to place or receive them in a break room or an area least likely to disrupt patients and staff.
  • Never bring cellphones or other mobile devices with camera/recording capabilities into patient areas, and never use them for unauthorized photos or recordings.

Staff should use the practice’s telephone for personal calls only for urgent matters. For incoming personal calls on the practice phone, the person answering the phone should take a message or transfer the call to voicemail (unless the call is urgent), allowing the call’s recipient to return the call at an appropriate time.

If you adopt this policy, be sure all staff are aware of it, and be prepared to enforce it.
