Reminder: Enrollment in State Registries Required to Administer COVID-19 Vaccines

The Texas Medical Association is reminding all physicians and facilities that administer COVID-19 vaccines to register and use the Texas Department of State Health Services’ (DSHS) Vaccine Allocation and Ordering System (VAOS). 

Registration in the VAOS is required to submit requests, accept vaccine allocations, confirm receipt of shipments, and report vaccine administration and waste to the state. 

Be sure to check your email – including your spam folder – and accept your allocation within 48 hours. You also will have access to a personalized dashboard in VAOS that shows allocation, supply chain, and administration for your facility. 

In addition to the VAOS, qualified physicians and practices must register with DSHS’ Immunization Program Portal as well as ImmTrac2, the state’s vaccine registry.   

TMA has created a list of 10 things to know to administer COVID-19 vaccines and a checklist to help guide you and your practice through registration. It is important to complete the entire registration process to be eligible to receive any allocation of the vaccine. Enrollment processing can take 10 to 14 days.  

DSHS has published a Frequently Asked Questions (FAQ) document that offers more details and explains the requirements for enrolling in the registry. The FAQ also covers topics such as vaccine ordering and distribution, storage and handling, and state reporting requirements.
